Board Job Descriptions

| |
- President
- Primary point of contact for negotiations with school administration, external rowing governing bodies and parents
- Coordinate and officiate meetings of the membership and board
- Establish and implement policy and procedure
- Other tasks as required.
- VP Administration
- Secondary point of contact when president is unavailable
- To prepare and maintain records related to the overall administration of the club
- To coordinate with the Treasurer regarding tax and legal documents required for compliance with IRS and state regulation, governing bodies and insurance providers
- To prepare and maintain records of employment for coaching staff as required
- To act as liaison with the team captains
- Other duties as assigned
- Secretary
- To be present at all Club meetings and will keep a complete journal of the proceeding
- Distribute meeting minutes to the Board and forward same to the Treasurer and VP Administration as a Club official document for permanent retention
- Forward a copy to the VP-Communications and Webmaster for dissemination to members as soon as possible after any meeting
- Treasurer
- To maintain the accounts of the club
- Provide a budgetary report monthly
- Maintain records of the corporation in coordination with the VP - Administration
- Prepare tax filings and insurance policies, and other such documents as required to maintain compliance with laws and governing regulations
- To accept all receipts, pay all bills and coordinate with OHS Athletic Boosters treasurer and school Athletic Department regarding crew accounts maintained with them
- VP Communications
- To communicate with all officers about their areas of responsibility and assist in information dissemination to members
- To establish and maintain the Crew Communication bulletin board at OHS outside the sponsor's door and provide information to crew webmaster and OHS AB newsletter
- To represent the crew boosters during OHS Athletic Booster meetings and participate in OHS committees as required
- To promote the crew program and spirit among OCCBC members and athletes
- VP Fundraising
- To provide fundraising opportunities for the benefit of OCCBC's mission of providing equipment and support to the OHS Crew Club
- To work in conjunction with the volunteer coordinator, coaching staff, school administration and other officers to assure that fundraising events are well supported, coordinated with practice schedules and in compliance with school guidelines
- To provide reports at monthly board meeting of pertinent information about upcoming events
- To maintain records of the amounts of fund raising performed by the individual team members
- VP Logistics
- To manage all Club travel, lodging, and other logistical needs required for travel outside the local area
- Responsible for local regatta scheduling and logistics in conjunction with the head coach and the National Capital Area Scholastic Rowing Association (NCASRA)
- To function as NCASRA and OLOC representative for OCCBC and OHS Crew and report back to coaches, the board members and the school administration items requiring action
- To oversee the compliance with and communication of park rules, parking regulations and regatta day instructions to families in conjunction with coaches
- To assist team members in setting up car pools if needed for on-the-water practice
- VP Membership
- Responsible for collecting and reviewing all required documents for crew participation and club membership
- Responsible for providing comprehensive packages of paperwork required by each coach
- Works in conjunction with coaches and VP Admininistration to determine adequacy of paperwork and provide recommendations and updates for future years
- VP Operations
- Oversees the adequacy of equipment provided for rowing and training the OHS Crew Club
- Locates and recommends additional equipment requirements
- Oversees maintenance and readiness of the equipment for the student rowers
- During conditioning, maintenance and repair of ergs
- For on the water training and regattas:
- ensures that safety equipment is ready for the season
- launches and motors are placed in the water
- fuel is available
- replacement parts and tools are available for the boats
- At the end of the season, Operations, with the help of coaches and
rowers, ensures that boats, launches, motors are stored for the off season.
- During the off season Operations arranges for boat repairs, motor winterizations, and oversees
the erg loan program.
- The Operations VP is responsible for organizing parent volunteers
to support Operations.
- Coordinates and assists in coaching and communicates coaching changes to faculty sponsor and VP of Communications for dissemination to members, inclusion on website
- VP Volunteers
- To determine what volunteer assignments are required to be filled by crew members and their parents in all areas including NVRPA and Sandy Run requirements, NCASRA and regatta requirements, OHS Athletic Booster Club and OHS school requirements, and any other volunteer duties obliged to be filled by OCCBC members on behalf of the Oakton High School Crew Club
- To recruit volunteers for said positions and maintain records of volunteer contributions.
- To report on all upcoming volunteer events and vacancies at the monthly booster meeting
- To oversee the practice car pool committee and assure that a schedule is provided to school club sponsor, for posting on crew communications board
- To provide reports at monthly board meeting of pertinent information about upcoming events
